Whose mail is being moved to Google Apps?

As of January 7th, 2013, all University of Maine System email accounts have been moved to Google Apps.

Can I keep my Horde (UMS IMAP) mail box?

There will be a brief period of time when you can access both Horde and Google Apps so you can transfer contacts and calendar information. You will not be allowed to keep your Horde account in the long term, however.

Is my mail and information at Google Apps kept private and secure?

Yes.  The email data is owned by UMS and its students—not Google.  Google is simply a service provider.  These and other concerns have been addressed by an educational agreement contract developed and executed by legal counsel for UMS and Google.

Will Google protect me against SPAM and viruses?

Yes.  Google blocks any files it considers a possible danger.  These include executables, even if they are in a zip file.  For more information, please refer to this link: http://mail.google.com/support/bin/answer.py?answer=6590

Does Google place ads in the mail?

No.  Google will not place ads in the email and you will not see ads on the screen when you look at your mail, calendar, or documents.

Will Google search our email for marketing purposes?

No.  The educational agreement prohibits that activity.

Can I use Thunderbird or Outlook (or other clients) with Google Apps?

Yes. You can use POP or IMAP clients. To set up your account for this, check out the Google help at:

Will I get a new email address?

No. You will continue to use your UMS email address, and you’ll still log into email with your UMS Username and password. Any email forwards you have set will not be affected, nor will your access to MaineStreet.

When I’ve been moved to Google Apps, how can I access my mail?

There is a link on the http://mail.maine.edu page, but you can access Google Apps directly using these links:

http://gmail.maine.edu – for Google Mail
http://calendar.maine.edu – for Google Calendar
http://docs.maine.edu – for Google Docs

Please note! You cannot go to http://gmail.com and login with your UMS username and password - you need to use the link on the mail.maine.edu page or one of the links above.

I have my email forwarded.  Will that still work?

Yes. When your account is migrated to Google Apps, all forwards will remain in place. So you will continue to receive and read mail where your mail has been forwarded.

You will still have the ability to manage your mail forwards. If you wish to unset your forward so that you can use Google Apps, visit http://mail.maine.edu and choose “Change the destination of email sent to your @Maine.edu address”. After you log in, check the radio button for “Your Maine.edu Gmail mailbox”. You can at any time forward your mail to any account you have access to with this same page.

What about my address book?

You can move your contacts from Horde to Google by following these steps:

1. In Horde
2. Click "Address Book" in the button bar at the top of the window
3. Click "Import/Export" in the button bar at the top of the window
4. Under "Export Address Book", choose "Comma Separated Values (Microsoft Outlook)" from the drop-down menu
5. Press the "Export" button
6. Save the file to the desktop as "contacts.csv"
7. Log into Gmail
8. Click "Contacts" in the menu on the left side of the window
9. Click "Import" to the right of the "Search contacts" box
10. Click the "Browse" button
11. Choose "contacts.csv" from the desktop
12. Click the "Import" button

I have calendar entries – can I move them to Google Apps?

Yes. To move calendar entries from Horde to Google Apps, follow these steps:

1. Log into Horde
2. Click "Horde" in the button bar at the top of the window, then "Calendars"
3. Click "Import/Export" in the button bar at the top of the window
4. Under "Export Calendar", choose "iCalendar" from the drop-down menu
5. Press the "Export" button to export all events, or optionally choose a date range of events to export
6. Save the file to the desktop as "events.ics"
7. Log into Gmail
8. Click "Calendar" in the menu at the top of the window
9. Click "Settings" in the upper-right hand corner of the window
10. Click "Calendars" under "Calendar Settings"
11. Click "Import Calendar" under the "Create New Calendar" button
12. Click the "Browse" button to the right of "Step 1: Select File"
13. Choose "events.ics" from the desktop
14. Click the "Import" button

I don't have all the things I've used in GMail - where are they?

Your Google Apps for Education account is not exactly the same as a GMail account. With a GMail account you have access to a number of applications that are not part of Google Apps or that The University System has not enabled. You can keep you gmail account for those other applications, of course.
